About the Pam Rector Center for Service and Action:
The Pam Rector Center for Service and Action (CSA) is a student hub for community service and social justice at Loyola Marymount University. CSA welcomes and celebrates students from diverse backgrounds. We provide students opportunities to expand their community outside of LMU through engagement with local and global community partners.
Reporting to the Director of the Pam Rector Center for Service and Action (CSA), the CSA Senior Administrative Coordinator provides administrative support to all CSA staff.
This position will be a vital part of the team in CSA , providing budget management support, student office staff supervision, and overseeing general office operations for the office and adjacent LMU Food Pantry.
Coordinate the day-to-day management of the student staff in the Center. This includes the hiring, supervision, scheduling, and training of 30+ student staff.
Assist with the management of the day-to-day administrative operations in the Center. This includes, but is not limited to: Office coverage, monitoring and responding to the CSA email inbox, supporting the staff with budgets, volunteer tracking, and adherence to daily office procedures and policies.
Serve as administrative liaison with the LMU community and CSA’s nonprofit community partners. Support the Center for Service and Action staff in the delivery of programs for the LMU community.
Maintain the CSA website and update as necessary with support from Marketing and Communications Office and LMU’s Information Technology Services.
Maintain office equipment and generate work orders to sustain a functional, orderly, and professional office environment. Address routine office management issues and kitchen maintenance needs. Oversee the CSA vehicles to ensure proper maintenance and functionality. Provide oversight for van usage requests and new driver certification and approval process.
Monitor and maintain accurate and current balances for departmental operating budgets in accordance with university policies. Process requisitions, prepare purchase orders and invoices, manage Workday budgeting. Reconcile budgets monthly and correct discrepancies. Perform budget analysis as requested.
Assist CSA staff with event and program coordination and planning (e.g. Community Service Fairs, Immersion programs, Riordan and Arete Awards).
Manage CSA’s social media accounts and the student staff who work on social media and publicity.
Support the operation of the LMU Food pantry. This includes managing the acquisition of food and ensuring consistent stocking of food and ensuring health standards are followed and maintained.
Perform other duties as assigned by the Director of the Pam Rector Center for Service and Action.

Typically a Bachelor’s degree. Incumbent will be expected to continue upgrading knowledge, skills and abilities needed to keep abreast of regulation/policy changes.
Minimum 2-4 years of experience performing varied skilled clerical, fiscal and administrative duties in support of an office or department.
Proficient knowledge of office environments, administrative duties, and ability to resolve complex problems and issues.
Knowledge of office machines, social media management, email, and databases.
A sense of humor and a desire to be a part of a team that serves students and nonprofit community partners.
